How much does an AI tool cost a small business?

It depends on the job, which is why we never quote before we’ve seen it. What we can promise is one fixed price, in writing, agreed before we build anything.

The short answer

It depends on the job, so we don’t publish a price list. What we do instead is talk the job through with you, then give you one fixed price in writing before we build anything. That price doesn’t move because the work took longer than we thought.

Why we don’t quote a figure up front

Two jobs that sound the same can be very different underneath. “Read our supplier invoices into the books” might be one supplier with tidy PDFs, or forty suppliers, half of them photos of crumpled paper. A figure given before we’ve seen the job is a guess, and a guess either scares off the small job or loses money on the big one.

So the first step is always a conversation: what the job is, how it’s done now, and what “finished” means. That happens on a call or in person.

What changes the price

  • How many steps the job has. A routine that files one kind of email is smaller than one that reads, checks and chases.
  • What it has to connect to. Most small-business apps connect easily. If one can’t, we’ll tell you before you spend anything.
  • Where your data has to stay. Hosted in the UK or EU, on your own network, or fully offline on a machine in your office. Each is possible; they cost different amounts to set up.
  • How unusual your rules are. The rules nobody wrote down are often the whole job, and the reason an off-the-shelf package doesn’t fit.

What you pay for, and what you don’t

You pay once for the build. Changes later are quoted the same way as the first build. Ongoing care is there if you want it, but it’s optional. We build on the apps you already pay for, so most jobs don’t add a new subscription. If one extra piece is needed, we’ll say what it is and why before we start.

The cheapest way to find out

If you’re not sure an idea will work, a prototype week gets a working first version into real people’s hands by Friday, at a fixed price for the week. If you go ahead with the full build, what you paid for the week comes off its price.

Is it worth it?

Measure it against the hours the job takes now. One supermarket store’s delivery rota was built by hand every week. The tool we built for it, in about four hours of working with AI, keeps every one of the drivers’ rules and saves the store about £3,000 a month. The delivery rota case shows the working.

Tell us about the job and we’ll tell you what it would take. We’re based in Bath and work across Bath, Bristol and the UK.
